The following General Terms and Conditions apply to all services provided by Office LAB AG within the framework of a contractual relationship. The organiser accepts these General Terms and Conditions when ordering services from Office LAB AG. The following General Terms and Conditions of Office LAB AG are an integral part of the event agreement. The event agreement consists of the definitive booking confirmation and the offer(s). Additional information such as organisation plan, room plan, technical offers etc. are also part of the event agreement.
All catering services (food and drinks) must be purchased from Office LAB AG. Bringing your own catering is not permitted. This also includes bringing wine, beer, pastries, etc. as "give-aways" or gifts if these are to be consumed on site. Exceptions must be requested in writing from Office LAB AG before the contract is concluded.
Office LAB AG must be notified of the choice of food and beverages no later than 2 weeks before the date of the event. After this time, Office LAB AG does not guarantee the availability of individual dishes or drinks.
The number of persons notified to Office LAB AG 7 working days before the event is binding. If the number of participants changes, Office LAB AG is authorised to change or adjust the room allocation and the agreed room provision costs accordingly. The subsequent costs must be paid by the organiser.
The organiser is liable for any damage caused to objects or property belonging to Office LAB AG during the event (including objects or premises rented by Office LAB AG, etc.). The same applies to the theft of items belonging to Office LAB AG. The movable objects brought into the premises or onto the event site of Office LAB AG by the organiser are not insured by Office LAB AG. Any insurance for loss, damage or theft must be taken out by the organiser both for the organiser's own items and for Office LAB AG's inventory. Office LAB AG accepts no liability whatsoever. Furthermore, Office LAB AG rejects any liability for damages suffered by participants of events for any reason whatsoever, insofar as legally permissible. The same applies to employees, agents or other service providers of the organiser. Should Office LAB AG be held liable in any way whatsoever by event participants or employees, agents, etc. of the organiser, the organiser undertakes to indemnify Office LAB AG in full. Office LAB AG assumes no guarantee and no liability for external services (artists, performers, decorators, furniture suppliers, etc.).
In the case of parties, the organiser must have his/her event concept, including traffic and security arrangements, approved by Office LAB AG and submit a corresponding application to the Zurich City Police. Depending on the event, Office LAB AG reserves the right to make further specifications regarding order or security at any time.
The official consumption prices generally include staff costs. Office LAB AG reserves the right to charge employees separately according to time and effort at the hourly rates listed below, depending on guest requirements or the type of event. If this is known before the event, it will be indicated on the event agreement. The hourly rates can be found in the tariff sheet.
The time schedule is set out in the event agreement. A delay of +/ 30 minutes is within the tolerance range. If more than 30 minutes is exceeded, the additional staff costs incurred for kitchen, service and logistics will be charged.
The organiser is responsible for the disposal of any material brought by him/her. Any staff and disposal costs incurred by Office LAB AG or external service providers will be invoiced. These services will be invoiced to the organiser on a time and material basis. The hourly rate can be found in the tariff sheet.
Office LAB AG accepts delivered event material. A logistics fee is charged for each pallet accepted. The fee can be found in the tariff sheet. Office LAB AG accepts no liability for stored material.
The technical installations in all rooms may only be operated by a technician selected by Office LAB AG. If the organiser books an external technical company, a technician selected by Office LAB will be charged CHF 95.00 per hour for the entire duration of the event.
If the organiser cancels a signed reservation confirmation, Office LAB AG will charge a processing fee in all cases. Depending on the time of cancellation, the organiser will be charged a fee. The fee can be found in the tariff sheet.
In any case, the organiser will then be charged for all costs incurred or charged to Office LAB AG by external service providers. In particular, Office LAB AG does not accept any cancellation fees from external service providers (such as artists, performers, decorators, etc.). Services provided by external service providers will be invoiced directly by the respective service companies.
The cancellation fees for the meeting rooms can be found in the tariff sheet. In any case, the organiser will be charged for all costs incurred or charged to Office LAB AG by external service providers. In particular, Office LAB AG does not accept any cancellation fees from external service providers (such as artists, performers, decorators, etc.).
When booking a seminar room, a deposit of 50 % of the order amount is mandatory. This deposit must be paid within 7 days of booking.
The final invoice for the remaining amount will be issued after the event and must be paid within 14 days of the invoice date. In the event of late payment, Office LAB AG is authorised to charge default interest of at least 5 %.
If there are any doubts about the organiser's creditworthiness, Office LAB AG reserves the right to withdraw from the event contract at any time or to demand full payment in advance. Events with billing addresses abroad must be paid in full in advance immediately after booking.
The organiser is obliged to inform Office LAB AG fully and truthfully about the nature of the event, including the topics to be covered and the speakers who will be appearing. In the rooms, halls and areas offered for hire by Office LAB AG, no events may be organised that violate decency and morality, incite violence or at which discriminatory content is disseminated in any way. Office LAB AG reserves the right to withdraw from an event contract at any time should information become known that casts doubt on the seriousness of the organiser(s) or indicates that events are to be held that violate decency and morality, incite violence or at which discriminatory content is disseminated in any way. The same applies in the event that Office LAB AG establishes that the organiser has not provided complete and truthful information about the nature of the event. In the event of cancellation of the event agreement on the part of Office LAB AG, the cancellation conditions pursuant to Section 8 shall apply analogously.
Events attended by persons requiring security and traffic control measures for their protection must be coordinated via the appropriate official channels. Office LAB AG is not responsible for any costs incurred as a result of such measures. The assumption of these costs must be arranged in advance by the organiser with the relevant authorities.
Office LAB AG reserves the right to charge additional staff hours for events that require an above-average amount of counselling. The hourly rates can be found in the tariff sheet.
Personal data will not be passed on to third parties and will only be used for internal purposes of Office LAB AG.
The organiser expressly agrees to the forwarding of data to third parties if this is necessary for the processing or provision of services requested by the organiser by third parties.
Should any provision of these General Terms and Conditions be or become invalid, this shall not affect the legal validity of the remaining provisions. In place of the invalid provision, a valid provision shall be deemed to have been agreed which comes as close as possible to the economic intent of the parties.
Office LAB AG reserves the right to amend these General Terms and Conditions at any time.
The General Terms and Conditions of Office LAB AG are an integral part of the event agreement and automatically come into force upon definitive reservation. The place of jurisdiction is the city of Zurich.
